Terms of Service & Rental Agreement
1. Booking & Payment To secure your date, a 50% non-refundable deposit is required at the time of booking. The remaining balance is due 7 days prior to the event date. If the event is booked less than 7 days in advance, full payment is required immediately.
2. Cancellations & Rescheduling
Client Cancellations: Cancellations made 14 days or more before the event will receive a refund of the deposit (minus a small processing fee). Cancellations made less than 14 days prior result in the forfeiture of the deposit.
Weather Policy: While we love the LA sun, safety comes first. If rain or high winds (over 20mph) are predicted 24 hours before your event, we reserve the right to reschedule. In this case, you will be offered a full "Rain Check" credit to reschedule your event within 12 months. We do not offer refunds for weather cancellations once the equipment has been set up.
3. Site Requirements & Preparation
Space: The Client must provide a flat area of at least 22x22 feet for the Bell Tent. The area must be clear of rocks, debris, and pet waste prior to our arrival.
Surface: Standard setup includes staking into grass. If setup is required on concrete, patio, or artificial turf, you must select the "Hard Surface Setup" option at booking so we can bring appropriate weights.
Access: We require clear access to the setup area (side gate width of at least 30 inches). We cannot carry equipment up more than 3 stairs or more than 50 yards from the vehicle unless previously arranged (Labor fees will apply).
Underground Utilities (Grass Setups): The Bell Tent is secured using heavy-duty stakes driven into the ground. The Client is responsible for marking all underground sprinkler lines, cables, and utilities prior to setup. Wilder Suites is not liable for damage to underground pipes or cables that were not clearly marked.
4. Equipment Care & Damage
No Shoes: Shoes must be removed before entering the tent.
Food & Drink: To protect our luxury linens and rugs, Red Wine, Chocolate, and foods that stain are strictly prohibited inside the tent or on the bed. Please enjoy these items at the provided dining tables or lounge areas outside.
No Open Flames: While we provide LED candles, no real open flame candles, incense, or smoking are permitted inside or near the tent.
Pets: Pets are not permitted inside the tent.
Damage Fees: The Client is responsible for the security of the equipment during the rental period. Any damage beyond normal wear and tear (including wine stains, candle wax, tears, or broken furniture) will result in a replacement fee charged to the card on file. A minimum professional cleaning fee of $150 will apply for extensive staining.
5. Liability & Safety
Assumption of Risk: The Client acknowledges that the use of camping equipment and outdoor furniture involves inherent risks. Wilder Suites assumes no liability for injuries, accidents, or allergic reactions that occur during the rental period.
Guest Safety: The Client is responsible for the safety and behavior of all guests. Wilder Suites is not liable for any accidents related to alcohol consumption or the use of the equipment.
6. Image Release We love to share our beautiful setups! Unless you explicitly request otherwise in writing, Wilder Suites reserves the right to take photos of the setup (without guests present) for marketing and social media purposes.
